Data Retention, Backup & Disaster Recovery
Last Updated: January 15, 2026 • Governing: Client Storage Volumes, Backup Protocols & DPDP/GDPR Data Erasure
1. Client Responsibility for Off-Site Backups
Because all Altivora Virtual Private Servers (VPS), Dedicated Bare-Metal Servers, and Cloud instances are unmanaged infrastructure, the Customer maintains 100% legal, technical, and operational responsibility for maintaining off-site backups of all operating system configurations, databases, game server files, plugins, world data, and user uploaded media.
2. Host Infrastructure Snapshots vs. Client Backups
Altivora datacenter operations perform automated, internal host-node snapshots and maintain enterprise NVMe RAID arrays solely for catastrophic hardware disaster recovery (e.g., physical host motherboard failure or multi-disk array failure).
2.1 Not a Managed Backup Guarantee
Internal host snapshots are rolling, transient block-level images designed for immediate host-to-host failover. They are not indexed, point-in-time file recovery archives for individual customer files or game databases.
2.2 Courtesy Restoration Disclaimer
Any attempt by Altivora engineering to extract data from host-level snapshots on behalf of a client who lost unbacked files is performed strictly on an "as-is", best-effort basis without warranty or guarantee of file consistency.
3. Data Erasure Schedule Upon Suspension & Termination
When a service invoice lapses or an account is cancelled, customer storage volumes undergo the following strict automated lifecycle:
| Service State | Timeline | Storage Action | Data Recoverability |
|---|---|---|---|
| Grace Period | Days 1 – 3 Overdue | Data remains fully mounted and online | 100% Intact |
| Suspended | Days 4 – 6 Overdue | Instance powered off; disk volumes locked but preserved | Recoverable on Payment |
| Terminated | Day 7 (VPS) / Day 5 (Dedicated) | Storage blocks scrubbed, zeroed, and released back to pool | Permanently Destroyed (0% Recoverable) |
| Immediate Cancellation | Upon Customer Request | Instance de-provisioned and storage formatted immediately | Permanently Destroyed (0% Recoverable) |
Zero Recovery Guarantee: Once a service reaches Terminated status, the virtualization hypervisor executes an unrecoverable block-level purge. Altivora technicians have zero technical ability to undelete or retrieve wiped server data. Altivora disclaims all liability for customer data loss resulting from non-payment termination.
4. Telemetry, Security & Audit Log Retention Windows
In compliance with the Indian Information Technology Act, CERT-In cybersecurity directives, and tax regulations:
- Firewall & DDoS Attack Logs: Network flow records and mitigation event summaries are stored for 180 days for security analysis.
- Billing Invoices & Transaction Ledgers: Invoices, tax records, and payment gateway references are retained for seven (7) years to comply with statutory accounting audits.
- Support Ticket Records: Authenticated ticket logs and troubleshooting histories are maintained for twenty-four (24) months for SLA and dispute auditing.
5. Right to Erasure & Account Deletion (DPDP & GDPR)
Under the Indian Digital Personal Data Protection (DPDP) Act 2023 and GDPR, clients in good standing with zero outstanding invoices may submit a formal Data Subject Access Request (DSAR) for account closure and personal data erasure:
- Submit a ticket under the Privacy & Compliance Desk in your Client Dashboard.
- Confirm cancellation of all active infrastructure services.
- Upon identity verification, personal identifiable information (PII) is permanently scrubbed from our active customer registries within 30 days, retaining only legally required tax invoice records.
